SAP Special G/L, Down Payments, and FI-SD/MM Integration (AR/AP Advanced Part 2)

Chapter 17 part 2 (questions 524 through 560) moves past dunning into special G/L postings, down payment chains, item interest calculation, and the integration glue between FI and the logistics modules. This is where the book connects AR/AP to the rest of the ERP landscape.

Special G/L transactions

Special G/L transactions (down payments, guarantees, bills of exchange, payment requests) post to alternative reconciliation accounts. They show separately on the balance sheet for legal or control reasons.

Indicators like F (down payment request), A (down payment), G (guarantee), P (payment request) pair with posting keys 09/19 (customer) and 29/39 (vendor).

Three technical posting types:

  • Free offsetting entry: regular on-balance sheet postings (down payments, bills of exchange)
  • Statistical posting: preset offsetting account, off-balance sheet (guarantees). F-55 vendor, F-38 customer.
  • Noted item: no G/L update, memo only (down payment requests). F-57 vendor, F-49 customer.

Down payments are advance payments before goods/services delivery. Show separately on balance sheet: liabilities for received, assets for made. Clear manually or via payment program when delivery completes.

Down payment requests are noted items referencing future down payments. Configure in payment program company code settings and dunning procedure to process via F110 and F150. No offsetting entry, so zero-balance check does not apply. Tax posts when the actual down payment follows.

Guarantees given appear in balance sheet notes. Guarantees received do not, but still track in vendor accounts and special G/L overviews.

Down payment chains structure complex project billing (construction industry). Credit-side chains monitor payables to subcontractors. Debit-side chains track customer receivables and payments. Configure under Debit-Side and Credit-Side Down Payment Chains in IMG.

Item interest calculation

Different from G/L balance interest (Chapter 15). Item interest calculates on individual overdue line items in AR/AP.

Two approaches:

  1. Run program, post interest as open receivable, send notice
  2. Calculate potential interest, notify partner without posting

Process (FINT for AR, FINTAP for AP): select items by interest indicator and parameters, count overdue days, check minimum amounts, calculate and post, print interest notice (Smart Form or PDF).

Master record fields under Interest Calculation: interest indicator, interest cycle (months), last key date, last interest run. For customers who are also vendors, select Supplier Items checkbox (and vice versa).

Sales cycle and FI-SD integration

Sales cycle flow: inquiry, quotation, sales order, delivery, goods issue, billing, collection.

Automatic account determination for goods issue walks through valuation level, valuation grouping code, valuation class from material type, account modification codes for movement types, process keys, and G/L assignment by chart of accounts + valuation grouping + modification code + valuation class.

Revenue account determination for billing uses chart of accounts, sales organization, customer account assignment group, material account assignment group, and account key from pricing procedure condition type KOFI.

Purchase cycle and FI-MM integration

Procurement cycle: purchase requisition, RFQ, quotation, PO, goods receipt, invoice verification, payment.

Documents by area:

  • MM: PR, PO, goods receipt
  • FI: invoice verification, vendor payment
  • Both: GR/IR visible in MM and FI views

Key insight: no FI document at PO creation. Commitment may post to CO. GR triggers the offsetting entry.

Goods receipt posting: debit inventory, credit GR/IR clearing. Material document + accounting document + PO history update.

Invoice verification: match invoice to PO/GR, update PO history, post debit GR/IR, credit vendor, credit G/L recon account. GR-based IV indicator controls whether invoice can post before goods receipt (blocked for payment if quantity variance).

Variances: price, schedule (delivery date vs invoice date), quantity (invoice exceeds GR).

Tax: manual entry with validation, or automatic with Calculate Tax indicator.

FI-MM integration keys: movement type (classification for goods movements), valuation class (G/L assignment), transaction/event key, material type.

Fiori apps for AR/AP teams

The chapter ends with extensive Fiori coverage. Highlights:

Closing thought on this chapter

Chapter 17 is the bridge chapter. Dunning and special G/L are pure FI-AR/AP. But the sales and purchase cycle sections explain why your FI postings look the way they do when SD or MM drives the transaction. If you only know F-28 and F110 without understanding GR/IR and revenue determination, you are flying half blind.
